VIP Team To Do List"
by Michael E. Callahan aka Dr. File Finder
Part of the editorial series on time management
It can often be a chore just organizing your own time, but when you haveto organize a team of people it can seem daunting. With VIP Team To Do List you can layout the project to be done, determine who willwork on each aspect, and keep track of work as it's completed. You cantrack tasks from the day they were started all the way through theircompletion.
VIP Team To Do List lets you keep track of exactly where eachpiece of the puzzle is. I like the fact that it clearly shows you thestatus of each item and who is responsible for it. Noguess work, just facts. The program also shows you a percentage thatindicates how close, or far away, you are to completion.
The program lets you set deadlines and then be able to track how closeare to meeting those deadlines. You can also see quite easily who youneed to talk with about any part of a project. If you look at the screenshot you can see all kinds of valuable information. How much time leftbefore each item is due to be finished? Who is responsible? What datedid a task begin on?
The ability to create categories makes tracking things eveneasier. Note that each category can have a distinctive icon, which makesit easier for everyone. The use of priorities lets everyone seejust how important each item is to the overall project.
Making A Project Easier
VIP Team To Do List makes any project easier by letting you breakit down into parts. Think about it. If you take a project, like buildinga bridge, it can seem overwhelming. Ahh, but if you break it down intoall of the little things that have to be done, you can better see theproject as a whole. Order steel, order cable, order bolts, order paint, and so on. Make someone responsible for all the component parts. It goesfrom being a bridge to being a series of things to do thatwill lead to a bridge.
VIP Team To Do List lets you filter the jobs by a range ofcriteria, including completion, status, date created, priority, andmore. The program can even send emails so you're constantly up-to-dateon each aspect of the main project and all of the segments. Slick!
The screen shot shows the dialog for creating a new task. Take a look atall the things you can control. You can set the status, estimate howlong it will take, make the task recur, set a reminder, make notes, listresources that pertain to the task, and more. You can even copy tasks, delete tasks, and duplicate tasks.
Cool FeaturesI was impressed by the fact that VIP Team To Do List is so flexible. Items can be easily changed depending on what you need. Youcan increase or decrease priority, change the status, change the duedate, and change the category. You can view things by category, status, resource, due date, priority, and so on. The program is simplyloaded with configurable options and features that allow you to work theway you want to. You can export information in a variety of fileformats including XML, HTML, text, and Excel spreadsheet format.Generate a Web page and post it online. You can also import data fromCSV format files.
You can determine what fields are shown and which are hidden. Theprogram will display exactly the information you want it to. With built-in FTP and email support, you can upload your project as a Webpage and notify all your team members easily.
Summing It Up!
VIP Team To Do List is an impressive program from a company thatspecializes in time management. The product is loaded with features, yetit's also intuitive to use. It doesn't overwhelm you with complexitiesthat aren't necessary. It's easy-to-use and I think it's perfect forusers with all levels of experience. In working with the program I foundit to be highly customizable and I always like that.
VIP Team To Do List will make doing any project easier for you and your team. Give it a try, I give it my highest recommendation.
